Work From Home Policy / Hybrid Working Policy

Work From Home Policy / Hybrid Working Policy

A template internal policy for a UK company setting out how remote and hybrid working operates, eligibility, expectations, health and safety, data security and equipment. Drafted for use in England & Wales.

How to use this template - Replace every [SQUARE-BRACKET] field before use, and tailor it to your organisation. - This is an internal policy, not a contract, but be consistent with employees' contracts (changing a contractual place of work needs care). Pair it with your DSE/health-and-safety and data-protection policies. - Have it reviewed by an HR/legal adviser before adoption.

[COMPANY NAME]: Work From Home / Hybrid Working Policy

Effective date: [DATE] · Owner: [HR / DEPARTMENT] · Applies to: [employees / workers]

1. Purpose and scope

This policy sets out how employees may work remotely (from home or another agreed location) on a full-time remote or hybrid basis, and the standards expected. It does not form part of your contract and may be updated.

2. Eligibility and arrangements

  • Remote/hybrid working depends on the role, business needs and performance. Not all roles are suitable.
  • Standard pattern: [e.g. minimum [X] days in the office per week / fully remote], as agreed with your manager.
  • Employees may also make a statutory flexible-working request (a day-one right), which we will handle reasonably and within the statutory framework.

3. Working hours and availability

  • Your normal working hours continue to apply; record time as required.
  • Be available and contactable during core hours and attend meetings as needed.
  • We respect working time rules (rest breaks; the 48-hour average week), remote working is not unlimited hours.

4. Health and safety (including DSE)

  • We remain responsible for your health and safety while working remotely (Health and Safety at Work etc. Act 1974).
  • Complete a homeworking/DSE self-assessment of your workstation and report any issues.
  • Take regular breaks and look after your wellbeing; tell us if you need support.

5. Equipment and expenses

  • The Company will provide [laptop/equipment as appropriate]. Company equipment must be used and kept securely.
  • Reimbursement of [agreed expenses] will follow our expenses policy; check the tax treatment of any homeworking costs.

6. Data protection and security

  • Comply with the UK GDPR / Data Protection Act 2018 and our data-security and IT policies at all times.
  • Keep devices and connections secure (encryption, VPN, strong passwords, MFA); lock screens; protect confidential information at home.
  • Do not use unauthorised devices/services; report any data breach or security incident immediately.

7. Confidentiality and conduct

  • The same standards of confidentiality, conduct and performance apply as in the office.
  • Be mindful of privacy on calls and of others who may see/hear work information.

8. Working location

  • Work from your agreed location. Tell us before working from a different address, and seek approval before working abroad (which can raise tax and legal issues).

9. Review and variation

We may vary, suspend or withdraw remote/hybrid arrangements where justified (e.g. performance or business need), giving reasonable notice.
